Expiry Reminders Privacy Policy
Last updated: October 2026
Expiry Reminders is a Google Sheets add-on published by GCESoftware Pty Ltd, the operator of Doyouok (doyouok.com) ("we", "us", "our"). This Privacy Policy explains what data the add-on accesses, including data obtained from Google, and how it is used, stored, shared and deleted.
This policy covers the add-on. If you also use the Doyouok website, for example to connect Telegram, Slack or Discord or to subscribe to a paid plan, that use is covered by the Doyouok Privacy Policy.
In Short
- Your spreadsheet stays in your Google account. The add-on reads only the spreadsheet it is used in.
- Reminder emails are sent from your own Google account, to the recipients you choose.
- Doyouok receives only what it needs to run the service: your Google account email and ID, the spreadsheet's ID and name, a daily status signal, the name, expiry date and days left of the items due a reminder, and problem reports when a run fails.
- We do not sell your data, use it for advertising, or use it to train AI models.
Google Permissions and Why We Need Them
- See, edit, create and delete only the specific Google Sheets spreadsheets that you use this application with (
spreadsheets.currentonly): to read the tabs and columns you choose (item name, expiry date, and the optional owner, renewal term, notes and recipient email columns); to write the new expiry date when you press Renew; to add the example tab or the "Days Left" and "Status" columns when you ask for them; and to keep the hidden "Expiry Reminders Log" tab. - Send email as you (
script.send_mail): to send reminder emails, the test email and notices about your reminders, from your Google account to the recipients you set. - Display and run third-party web content in prompts and sidebars inside Google applications (
script.container.ui): to show the add-on's menu, sidebar and Settings dialog. - Allow this application to run when you are not present (
script.scriptapp): to create the daily timer that checks your dates while reminders are on, and to remove it when you turn them off. - Connect to an external service (
script.external_request): to talk to doyouok.com, as described below. - See your primary Google Account email address and associate you with your personal info on Google (
userinfo.email, openid): to identify your Google account to Doyouok, so the add-on can create and sign in to your free Doyouok account.
Data Kept in Your Google Account
- Settings (tabs, columns, recipients, schedule and your optional message) are saved in the spreadsheet's document properties.
- The "Expiry Reminders Log" tab, hidden in your spreadsheet, records which reminders were sent so none is sent twice.
- Sent reminder emails appear in your Gmail Sent folder.
This data stays in your Google account under Google's terms and is controlled by you. We cannot access it outside the add-on running in your own account.
Data Sent to Doyouok
- Account identity: your Google account ID and email address, taken from an identity token signed by Google. Used to create and sign in to your free Doyouok account and to send you account emails, such as the one-time welcome email and alerts about your reminders.
- Spreadsheet ID and name: sent when you turn reminders on or off, to link the spreadsheet to your account.
- Daily status: a start and finish signal each time the daily run happens, so we can alert you if it stops running.
- Items due a reminder: for each item due a reminder that day, the item name (with its Owner value, if you chose an Owner column), the expiry date and the number of days left. Used to count your plan's yearly items and, if you connected them, to send the reminder to Telegram, Slack or Discord.
- Problem reports: when a daily run fails or finds rows it cannot read, a short description of up to 2,000 characters, which may include a tab name, row number, item name, the value that could not be read (for example an invalid date or email address) and email delivery errors. Used to alert you so you can fix it.
Notes, the recipient email addresses you set (other than a value quoted in a problem report), the content of reminder emails and the rest of your spreadsheet are not sent to Doyouok.
How We Use Data
We use the data above only to provide and improve the add-on's user-facing features: your Doyouok account, plan limits, reminders on the channels you connect, alerts about failed runs, service emails and support. We do not use it for advertising, we do not sell it, and we do not use it to develop, improve or train generalized AI or machine-learning models.
Google API Services User Data Policy
Expiry Reminders' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
No person at Doyouok reads your data unless you ask us to (for example, for support), it is needed for security purposes such as investigating abuse, it is required to comply with the law, or it is aggregated and anonymized for internal operations.
Information Sharing
- Telegram, Slack and Discord: only if you connect them, the name, expiry date and days left of items due a reminder, and alerts about your reminders, are sent to the chat or channel you connected.
- Service providers: hosting and email delivery providers that run the Doyouok service for us, and Stripe if you subscribe to a paid plan. They process data only to provide those services.
- Legal requirements: we may disclose relevant information where required by law, regulation, or court order.
- We do not sell, rent or otherwise transfer your data to advertising platforms, data brokers or other third parties.
Data Retention and Deletion
- Records of items due a reminder, and problem reports, are deleted automatically after your plan's history period (7 days on the Free plan). The most recent record of each item is kept while your account exists, so the item is counted only once a year.
- Turning reminders off stops the daily run and keeps the spreadsheet's link, so items are not counted twice if you turn reminders back on.
- Your Doyouok account data is kept while the account exists. You can delete your account and all its data at any time: sign in to doyouok.com with the same Google account and press "Delete account" in the Danger zone of your account settings. Turn reminders off in each spreadsheet first, otherwise the add-on links the spreadsheet to a new account. Deleting the account also cancels any paid subscription; billing records kept by Stripe, our payment processor, are not affected. You can also email [email protected] from your Google account's email address and we will delete it for you.
- To stop using the add-on, turn reminders off in Settings, then remove it in Extensions > Add-ons > Manage add-ons. You can revoke its access to your Google account at any time at myaccount.google.com/permissions. Settings and the log tab stay in your spreadsheet until you delete them.
Data Security
All data sent between the add-on and Doyouok is encrypted in transit (HTTPS/TLS), and every request is authenticated, either with an identity token signed by Google or with a secret key unique to your spreadsheet. We use access controls to limit access to stored data. However, no method of transmission or storage over the internet can be guaranteed to be completely secure.
Your Rights
Under applicable data protection laws such as Australia's Privacy Act 1988, you have the right to access, correct, or request deletion of the personal information we hold about you. Please contact us using the details below and we will respond within a reasonable time.
Children's Privacy
Expiry Reminders is not directed at children under the age of 13, and we do not knowingly collect personal information from children.
